The Turkish Education Volunteers Foundation was established by a group comprising businesspeople and academics under the leadership of the late Ms. Suna Kuraç. Our foundation’s mission is to contribute to the basic education provided by the state so that children of elementary school age may grow up to be well-equipped and qualified individuals imbued with contemporary and universal values as well as the fundamental principles of the Republic. Operating for 31 years under the motto “One child changes, Turkey progresses,” our foundation has provided quality education to over 3.3 million children with the support of more than 110,000 volunteers.Host:
What were your organization’s needs before starting the project?İbrahim Bayraktar:
Before Xpoda, our foundation was using a foreign-sourced “ERP” system. Along with the closed-loop workflow system included in this “ERP” system, the rising service and maintenance costs, combined with licensing fees, were placing a very significant financial burden on our foundation’s budget. First, we decided to replace our “ERP” system. We needed a workflow system. That’s when we discovered the Xpoda software development platform. We use the Xpoda software development platform in many of our foundation’s operational processes. We actively use Xpoda in processes such as leave management, warehouse and “inventory” management, procurement, and disposal. Additionally, as a result of certain regulations introduced by the ISO 9001 quality management system—which we have been implementing for five years—and the ISO 27001 information security management system—which we integrated with it and have been using and implementing for three years—we have incorporated XXpoda into our system for corrective actions and data destruction processes. We chose Xpoda as our software development platform due to its flexible structure and easily scalable architecture, and both our users and our professional IT team are very satisfied with this choice.Host:
What benefits have you gained from using Xpoda? What challenges have you overcome?İbrahim Bayraktar:
With Xpoda, we’ve achieved a significant increase in speed and efficiency in our operations. In particular, after implementing the “ERP” system and integrating the Xpoda software development platform into our “ERP” system, we sent a colleague from our foundation’s IT team to a two-week training program with the support of Xpoda. He made significant progress, particularly in the “No-Code” architecture, and by combining this training with his existing knowledge of “SQL databases,” we were able to quickly begin implementing Xpoda software to streamline our foundation’s business processes. Xpoda has significantly streamlined our business processes, particularly in the areas of advance payments and expense management. Specifically, within the scope of our quality management system, we’ve implemented an approval mechanism for procurement processes. When amounts exceed a certain threshold, our finance director must approve them; if they exceed another threshold, approval must come from the general manager. We are able to implement these approval processes very quickly on the Xpoda software development platform. Our managers and specialists can handle leave requests, procurement processes, expense and advance requests, as well as warehouse and “inventory” processes very quickly on Xpoda.Host:
Where do you see Xpoda fitting into your digital transformation journey?İbrahim Bayraktar:
Our foundation has made a significant contribution to digital transformation processes, particularly through the strides it has taken over the past five years. We continue to handle many tasks—particularly permit applications and processes like signing—that we used to do with pen and paper entirely on the Xpoda platform. By digitizing these processes, you can manage time more effectively, streamline operations, and reduce costs to make your processes faster. In terms of “mobility,” we can say that the Xpoda interface is highly “responsive.” As managers, we are often out in the field or traveling, and no matter where we are—whether at the airport or in a vehicle—we can receive notifications via email on our cell phones whenever it’s convenient. Xpoda has a fast “mailing” system. Thanks to the email notifications that appear in our inboxes, we can move the approval process forward very quickly. Over the past six years with Xpoda, we’ve made significant strides in our digital transformation efforts, and we plan to migrate our new business plans to the Xpoda platform as well.
